Subcontractor says the invitation email never arrived? Here is how to send the sign-up link yourself via WhatsApp or email, and how they get in.
Subcontractor can't get into the portal? Share the sign-up link yourself
Sometimes a subcontractor says the invitation email never arrived. Usually it is in the spam folder, especially with free email providers and strict company filters. You do not have to wait for us: you can send the link yourself.
You recognise the situation by "Invited • Awaiting response" under the subcontractor's name.
Step 1: Open the menu on the subcontractor
Open the project → "Companies" tab
Click the three dots (⋮) at the right of the subcontractor's row

Step 2: Try "Send reminder" first
Choose "Send reminder" . The invitation goes to the contact person's email address again.
Ask the subcontractor to check the spam folder and to add noreply@workadministration.com as a safe sender.
Step 3: Email still not arriving? Share the link yourself
Choose "Copy access link" → "Create link"
Choose WhatsApp , Email or SMS , or click "Copy" and paste the link into your own message
The link is valid for 1 hour . Call or message the subcontractor to click it now. Expired? Simply create a new link.
Tip: "View Details" opens the subcontractor's panel with the same buttons: "Send again" and "Share sign-up link" .
Only share the link with the right person at the subcontractor. Whoever opens the link can activate the account.
What does the subcontractor do?
Open the link and choose a password
Sign in with the email address linked to the invitation ; it is shown on the screen
Go to "Invitations" → "Accept"
The outstanding documents for the project are then ready to upload
Should the invitation go to a different person?
Changing the email address of an already invited subcontractor is not yet possible yourself. Send us the company name and the new address via info@workadministration.com and we will change it. In the meantime the shared link also works for the new contact person: they choose the password and sign in with the address shown on the screen.
Has the subcontractor signed in before?
Then you see "Account active" and there is no shareable link. The subcontractor uses "Forgot password" on the login page, or you choose "Send password reset" in the same menu.
